Privacy statement

Introduction

Health New Zealand | Te Whatu Ora (HNZ) owns the eCALD Services programme, including copyright items in all formats.

eCALD Services provides cross-cultural training to the health workforce across the motu. We use a learning management system (LMS) to register and disseminate information and keep records of our learners.

This privacy statement outlines how we may collect, use, store and share your personal information for eCALD Services under the Privacy Act 2020 and Health Information Privacy Code 2020.

We may update this privacy statement from time to time. Please check this privacy statement regularly for modifications and updates. This privacy statement was last updated on 22nd August 2024.

If you have questions or concerns regarding how and why your information is being collected and/or used for the purposes of the eCALD LMS, please contact the eCALD Team at cald@waitematadhb.govt.nz.

What personal information we collect

We may collect the following personal information from you:

  • Name
  • Email
  • Ethnicity (optional to provide)
  • Organisation name
  • Department name
  • Occupation
  • Workforce category
  • Employee number (optional to provide)
  • Workplace location
  • Manager name
  • Manager email
  • Region you are located in.
  • Your enrolment and training histories

Your employer may provide your information on your behalf for registration purposes. Except for ethnicity and employee number, all other information is required to create an eCALD User Account.

You can update your information at any time by logging in to the system and editing it. If you are having trouble updating your information, please contact cald@waitematadhb.govt.nz for assistance.

How we will use the personal information

eCALD Services will use this information for the purposes of:

  • Checking eligibility for enrolment.
  • Creating a User Account so that you can take part in eCALD Courses.
  • Communicate with you.
  • Coordination of enrolment of training sessions.
  • Proof of enrolment history and completed training sessions which may be shared with your employer/manager.
  • Anonymised reporting.

Sharing the information

We may share anonymised information with the HNZ Commissioning Teams for reporting on trends.

Your information will not be shared with third parties.

How long we keep the information

We will only keep your personal information for as long as you are accessing eCALD courses.

If you no longer require an eCALD User Account, you can delete this yourself, or you can request this to be done by emailing cald@waitematadhb.govt.nz.

If you have breached copyright’s rules or abused the system by sharing your password and giving eCALD LMS access to other people, your account will be deactivated.

If your account has been inactive for more than five years, it will be deleted from the system.

Please note, once your account is deleted, there is no way to recover the information stored previously.

Storing information securely

We take reasonable steps to ensure your personal information is protected against loss, unauthorised access, use, modification, disclosure, or other misuse.

Your account is password protected. Only yourself and the eCALD Services Team will have access to your account and the information associated with it.

We constantly upgrade our systems and respond to feedback to prevent risks of loss, unauthorised access, use, modification, disclosure, or other misuse of your information. Data is stored securely in Sitehost Data Centre located in Auckland.

Accessing and correcting your personal information

In accordance with the Privacy Act 2020, you have the right to access, and ask to correct, personal information which HNZ holds about you.

To access any personal information held by us, or if you wish to correct your information, please email cald@waitematadhb.govt.nz.

When making a request to access or change your information, please include:

  • your name
  • contact email
  • contact phone number
  • details of the information you want or want to correct - this needs to be as clear and specific as you can make it. We may ask you for more details.

Please note that before we can provide you with your information or make any changes we need to be satisfied about your identity. To do so, we may need to ask you further questions or to view identification which establishes your identity.

Requesting information on behalf of someone else

If you are requesting information on behalf of someone else, you will need to provide their authorisation or other documentation to support that you have the right to do so.
